Gateway: admissions from first enquiry to enrolment

Available now

Gateway is the admissions system of EdGrove. It takes a family from the first enquiry through application, review, offer, signed agreement and enrolment, while your admissions team works from one inbox and pipeline. Parents get their own portal to follow every step, and AI helps the team stay on top of the funnel.

What Gateway does

Public application and enquiry

Branded school hub

Your own admissions pages with your logo and colours: how to apply, fees, documents, open days and visits.

Multi-step application

A guided form for student, guardian, academic and additional details, with a review step before submitting.

Form builder

Add your own steps, fields and questions without code, so the form asks exactly what your school needs.

Embed on your website

Drop the enquiry or application form into your existing school website with an embed code.

Intakes, year groups and campuses

  • Families choose an intake: campus, academic year, year group and, where offered, programme or track.
  • Each intake has capacity, remaining places, opening and closing dates, and a status: open, scheduled, waitlist or closed.
  • Year groups with several programmes ask families to pick one, so no application arrives incomplete.
  • Intakes can carry a family-friendly display name, and capacity is managed from one settings page.

Admissions inbox and pipeline

  • Separate queues for enquiries, applications and re-enrolment, plus a prospect CRM and candidate list.
  • Configurable pipeline stages with a drag-and-drop board, stage time targets (SLAs) and reason lists for outcomes and reassignments.
  • Reviewer scoring against your own rubric, tags, bulk actions, a waitlist and a task list for the team.
  • Convert an enquiry into an application in one step, or create an application on a family’s behalf.
  • Print-ready application view for interviews and files.

Documents, agreements and e-signature

  • Document upload and triage, with families able to upload from an emailed link without creating an account.
  • Document templates and branded letterheads for letters and offers.
  • Agreement templates with electronic signature in the parent portal or by secure link, countersigning and multi-party signing.
  • Each signed agreement is stored with a content fingerprint, so you can prove what was signed.
  • Consent forms parents sign during admissions.

Offers, admission fees and payment plans

  • Offer links and offer emails sent straight from the pipeline.
  • Fee types, rules, a fee matrix, discounts and fee approval.
  • Per-application fee breakdowns, statements and payment plans, and a public fees page.
  • Admissions currency set per school, so every family sees the right currency.

Parent portal

  • Applications with a full timeline, plus a status tracker families can open from a link.
  • Messages, finance, open days and document uploads in one place.
  • Invite co-guardians, and submit data requests and change requests online.

Visits, interviews and open days

  • Open-day management, visit booking with your availability and interview slots.
  • A shared admissions calendar, with calendar invites sent to families.

Communication and automation

  • Mass-email campaigns, mailing lists and email-template automation.
  • Automatic follow-ups when an application goes quiet, at day 3, 7, 15, 22 and 30.
  • Re-enrolment campaigns with a simple response page for current families.
  • Unsubscribe and preference pages built in.

Reporting and analytics

  • Dashboards you can build and rearrange, funnel and source analytics, and a cohort simulator.
  • Saved reports and an activity feed of everything happening in admissions.

Built for international schools

  • Interface in English (UK and US), Arabic with right-to-left layout, French and German.
  • Multi-campus scoping, roles and permissions for admissions staff, and agent or referrer tracking.
  • Privacy tools: retention settings, data-subject request handling, a recycle bin and a failed-submission log.
  • Single sign-on with the rest of EdGrove, including sign-in with Google.

How it works

  1. The school publishes its intakes and a branded application page, or embeds the form on its website.
  2. Families send an enquiry or application; staff triage it in the inbox and move it through the pipeline, with scoring, interviews and visits.
  3. The school issues an offer, the admission-fee breakdown and the agreement, which parents sign online.
  4. Documents and consents are collected while automatic emails and the status tracker keep the family informed.
  5. On enrolment, the student moves on to the school’s other EdGrove systems.
